Garage Management System

Technician at work in a modern UK garage workshop

Overview

Our Garage Management System runs your garage website and back office in one place: online and office bookings with a calendar, customer and vehicle records, job cards, quotes and invoices. It also includes parts and stock control with an online parts shop, a "My account" area where customers can see their bookings, invoices, quotes and vehicle history, and automatic email and SMS notifications. Optional DVLA and MOT look-up fills in vehicle details in one click, and staff get their own roles with two-step sign-in for security.

Features in detail

Bookings and calendar

Customer arranging a service booking at a garage reception desk

Customers book a service on your website: they pick a day, see the free times and send their request. Staff add bookings in the office and manage everything on a weekly calendar. Set slot length, working days and number of bays. Dates use the British dd/mm/yyyy format and the 24-hour clock.

Customers and vehicles

Keep customer details and their vehicles together, including registration and MOT due date. With your own DVLA and MOT History keys, one click fills in make, year and MOT due date and shows tax status, colour, fuel, engine size and recent MOT tests with advisories or failures. Nothing is looked up unless you click.

Job cards, quotes and invoices

Open a job card, add parts and labour lines, then create a quote for approval or an invoice. Print invoices or download PDFs, record payments and issue credit notes. Your VAT rate, VAT number, labour rate and number prefixes are set once in Settings.

Parts, stock and the online parts shop

Car parts neatly arranged on workshop shelving

Add parts with SKU, price and stock level, and set reorder levels so the dashboard warns you when stock is low. Parts used on job cards reduce stock automatically. Tick one box to show a part in your online shop with the same price and stock. Shoppers get a floating basket button and a slide-out side basket, plus a mobile-friendly basket and checkout. Cancelled and refunded orders return stock automatically.

Payments

Customers can choose Pay when you collect from day one. Card payments are taken through the online shop's standard payment gateways, connected to your own payment provider account. [CONFIRM: card payment gateways have not yet been tested with a live or test account]

Customer "My account" area

Driver checking their vehicle service history on a phone

Customers sign in to see their bookings, quotes, invoices, shop orders, and vehicle and service history.

Email and SMS notifications

Automatic messages such as booking confirmed, quote ready and invoice due. SMS is optional and uses your own SMS provider account.

Your brand, your search settings

Add your own logo, colours, address and opening hours, homepage banners, and basic search engine settings. The system carries no KingAcademic branding, so it looks like your garage's own site.

Staff accounts and security

Separate roles for garage manager and garage mechanic, with two-step sign-in.

Try the full system free for one month. When the trial ends, the system locks, but your data is kept, so you can carry on where you left off once you buy. [CONFIRM: trial includes all features; data kept on upgrade]

After-sales support

Your purchase includes after-sales support for the system as supplied. If something does not work as described in the customer guide, tell us and we will investigate and fix it. [CONFIRM: support period, e.g. 3 months from purchase, and response time, e.g. 2 working days]

After-sales support does not include changes, additions or tailor-made (custom) work, such as altering screens, wording, workflows, reports or notifications, or adding new features. Frequently asked questions

Do I need my own website hosting?

Yes. The system installs on your own WordPress website, so you need web hosting with HTTPS. Your hosting company can help if you are unsure.

Can customers pay by card?

From day one customers can choose Pay when you collect. Card payments are taken through the online shop's standard payment gateways, connected to your own payment provider account. [CONFIRM]

Is the DVLA and MOT look-up included?

The feature is built in, but it is optional and needs your own DVLA and MOT History data access keys.

Are changes or custom work included?

No. After-sales support covers the system as supplied. Changes and tailor-made work are charged separately, for example through our System Customisation Service.
